Organize Your Work with User Profiles 🧑🏻
A game-changer for managing multiple accounts, brands, or clients
Before going all-in as a product-based business owner and consultant, I ran a social media agency and worked with as many as eight (!!!) clients simultaneously. Any SoMe folks out there know that is *a lot*, especially if you're creating all content, posting, and moderating for every platform for every client.
Plus, they all had multiple social media accounts and used different platforms for project management, social scheduling, file storage, team chat, AND some of them even required me to use a separate email account + calendar *cue the sweating*😅.
Sometimes I wonder how I survived this stage of my career, but then I remember....the secret was User Profiles.
And this is also the origin story for how I became such a digital organization nerd. 🤓
User Profiles are incredibly helpful if you manage multiple accounts, brands, or clients --- I still use them since I manage profiles for both Thyme is Honey (my main business) and The Daily Page (my paper goods shop), along with some client-based work. However, this has also been a tool that I've been able to teach students in my group courses who simply want an easy way to organize the tools they use for work and their personal life, or their primary job and their side gig, etc.
In short, they allow you to set up multiple profiles within your internet browser, so you can easily access or switch back and forth between various accounts without needing to log in/out. I also love that you can have separate Designated Browser Tabs and completely different Bookmark Folders for each profile, which makes it easy to customize the experience in each profile.
Here’s an example of how User Profiles can change your workflow:
👵🏻The Old Way: You sit down at work and open your browser. Since you’ve set up your Designated Browser Tabs (proud of you!) it automatically starts up the services you use as you begin your day. But then your phone pings and it’s an email from your college bestie with details for next week’s dinner party. Now you’re trying to switch over to your personal Gmail and Google Calendar and that’s requiring you to log out of your work accounts. In the midst of getting the dinner plans on your calendar, Nancy from HR asks you to send yesterday’s meeting notes over ASAP. Now you’re frantically logging back into your work Google accounts to access the files on your drive.
😎With User Profiles: You sit down at work and open your browser. Since you’ve set up your Designated Browser Tabs (proud of you!) it automatically starts up the services you use as you begin your day. But then your phone pings and it’s an email from your college bestie with details for next week’s dinner party. You click in the top right corner of your browser to select “Personal”, and your browser automatically opens a new window that also launches with all your personal accounts open and ready to roll. When Nancy from HR makes the urgent request, you simply click back over to your Professional user profile and send her the files before gracefully popping once again into your personal account to ensure the dinner party landed on the right day/time, sending your friend a quick email to confirm, and then high-fiving yourself for being so efficient.
Below is my quick video tutorial that will show you how User Profiles work in Google Chrome. I'll show you an example of how I utilize it in my business and walk you through how to set one up. See below for step-by-step directions.
➕ Add a new profile:
On your computer, open Chrome.
At the top right, click Profile Profile.
Click Add.
If you choose to Sync to your Google Account, your profile name will automatically be your Account name.
Choose a name, photo and color scheme.
🔁 Switch to another profile:
On your computer, open Chrome.
At the top right, click Profile Profile.
Choose the profile you want to switch to.
🎨 Change a name, photo, or color:
On your computer, open Chrome.
At the top right, click Profile Profile
Next to "Other Profiles," select Manage profiles Manage people
At the top right of the profile you want to edit, click More More and then Edit.
Enter a new name or choose a new photo or color theme. Changes are saved automatically.
⛔ Remove a profile:
Important: After you remove a profile from Chrome, the profile's bookmarks, history, passwords, and other settings are erased from the computer.
On your computer, open Chrome.
At the top right, click Profile Profile.
Next to "Other Profiles," select Manage profiles Manage people.
Point to the profile you want to remove.
At the top right of the profile, click More More and then Delete.
To confirm, click Delete.
If you choose to turn sync on in Chrome with a Google Account for the new profile, your bookmarks, history, passwords and other settings will sync automatically across devices (but not across profiles).
